At UC Merced, when there is a new hire and/or rehire, there are required documents/forms that must be completed. These documents are categorized by the University of California as well as by federal forms.

These forms will be provided to the new hire at the In-Take appointment for completion. DO NOT PRINT.

As a general reminder, Departments are encouraged to consult with the International Students and Scholars Office/Office Of International Affairs, before committing to hiring an individual who is not a U.S. citizen or permanent resident.


Federal Form I-9

The Federal Form I-9 is used to verify the identity and employment authorization of individuals hired for employment in the United States. It is important to know that failure to complete the I-9 may impact the timing of the new employee's first paycheck.

Why do we complete the form I-9? Federal Statute: The Immigration Reform and Control Act of 1986 (IRCA).

All employers must use Form I-9 for all employees hired on or after November 6, 1986, who are working in the U.S.

Who is required to complete the Form I-9?

  • Staff Employees
  • Work Study Students
  • Teaching Assistants, Readers, GSR, etc.
  • Postdoctoral Scholars
  • Academic Faculty
  • Without Salary Appointment (WOS)

The UC State Oath of Allegiance

The UC State Oath of Allegiance is to be signed by UC Merced employees who are US citizens (only).

When must the Oath be signed: BEFORE the individual enters upon duties of employment.

Who is not required to complete the Oath?

  • Foreign Nationals
  • Emeritus faculty members
  • Affiliates, Volunteers, and/or Contingent Workers (CWR)

UC Patent Policy and Acknowledgement

The UC Patent and Acknowledgment is to be signed by all UC Merced employees and affiliates.

  • Must be signed after a one (1) day break in service.

When must it be signed? At In-Take appointment.

Child Abuse and Neglect Reporting Act (CANRA)

CANRA imposes an obligation to report child abuse or neglect on certain individuals.

Applies to employees who are considered mandated reporters.

  • Contact with children regularly
  • Direct supervision of children
  • Supervision of other mandated reporters
  • Care of dependent adults or elders

* May include student workers under 18.

Compensatory Time Off Election Form

Non-exempt employees at UC Merced may elect compensatory time off or monetary payment for overtime worked. A CTO Election Form will need to be completed and submitted.
