
Completing Supplement B, Reverification and Rehires
UC Merced must complete Supplement B when:
UCM employee’s employment authorization or documentation of employment authorization has expired ("reverification").
UC Merced may complete Supplement B when:
- UC Merced employee is rehired within 3 years of the date that Form I-9, Employment Eligibility Verification, was originally completed; or
- UC Merced employee has a legal name change.
When completing Supplement B, UCM must also complete the last name, first name and middle initial fields at the top of the page for I-9.
Reverification
When an employee’s employment authorization or, in most cases, employment authorization documentation expires, UC Merced must reverify to ensure the employee is still authorized to work. To confirm the date the employee’s employment authorization expires, we can review:
- Section 1 for the date that employment authorization expires and
- Section 2 for the date that the employment authorization document expires
The employment authorization expiration date provided by an employee in Section 1 may not match the document expiration date recorded under List A or List C in Section 2. We must reverify by the earlier date when reverification is necessary.
At UC Merced we remind employees starting at least 90 days before the date reverification is required. That employee will be required to present a List A or List C document (or acceptable receipt). Document or acceptable receipt should be showing continued employment authorization on the date that their employment authorization or documentation whichever is sooner, expires.
The Workforce Onboarding Hub analyst will reach out via the employees UC Merced email to request an appointment on-site to complete all necessary I9 reverification updates.
Employees with expiring immigration status, employment authorization, or employment authorization documents should have the necessary application or petition filed well in advance. This is to ensure they maintain continuous employment authorization and/or valid documents.
To complete Supplement B, UC Merced must:
- Examine the unexpired documents in person to determine if they appear to be genuine and relate to your employee.
- Record the document title, document number and expiration date, if any.
- Sign and date Supplement B.
If UC Merced employee fails to come by the Workforce Onboarding on-campus location Hub as requested by the deadline and provide physical documentation to complete Section B Reverification. Then, employee is not confirmed for continued work authorization within the University. As a result, will be escalated to the employees Unit Leadership and Payroll Services to begin termination process for non-work authorization eligibility.
All work by the employee must be stopped upon receipt from Workforce Onboarding Hub on the notice of expiring authorization email subject line "Cease Work-Separation Required." The termination request must be submitted to Payroll Services according to the dates effective in the email. Taking them only off work schedules is not enough, they must be termed from employment in UCPATH records.
