Dear Campus MSOs and EDB/PTR Preparers:
This announcement is to inform you that the current manual process to increase the leave accrual code in EDB for staff employees will be automated effective August 1, 2008. The Personnel/Payroll System (PPS) has the capability to determine and track qualifying employment service credit months and update the leave accrual code automatically when employees achieve the required months of employment service credit (equivalent to years) eligible for an increase in the rate at which vacation is earned. PPS has been accumulating and storing employment service credit months "unofficially" since 1995, and we need your help with evaluating and determining if the months accumulated thus far are accurate before the leave accrual code feature is automated.
In addition to PPS automatically changing the leave accrual code when employees achieve a leave accrual change milestone, it will recognize and automatically change the leave accrual code to the applicable level when personnel actions are processed that change an employees Personnel Program from Tier 1 to Tier 2, i.e. PSS to MSP. Subsequent changes made to employee's time on pay status will also be recognized and the months of service credit adjusted accordingly.
UC Merced Conversion Plan
Two training sessions (see below) will be held at which time mark-up rosters with employee information will be distributed to department representatives. We would like all MSOs and EDB/PTR preparers to attend the trainings as each will be instrumental in accomplishing our mission. If you plan to designate down all, or a portion, of the duties please feel free to have more than one representative from your department present at one of the sessions. In these sessions, Department Representatives will receive detailed instructions on reviewing and making changes on the rosters, at-a-glance reference charts, a schedule of event timelines and responsibilities.

- Session 2: June 19, 2008; 1:00 - 3:00 pm
We understand that not everyone will be able to attend these sessions; if you send an email to payroll@ucmerced.edu I will work with you to setup a one-on-one session to discuss the implementation. If there are enough people who need a third session options we can even discuss another session the week of June 23rd.
