 Timesheet Reporting for 11/04/15 - 11/05/1511/6/2015

Timesheet Reporting for 11/04/15 - 11/05/15 - Due to the recent tragedy on campus, employees (all employees including student employees) who were scheduled to work on 11/04/15 & 11/05/15; please report on your timesheet as paid time (Work Hrs.) per AVC of HR, Brian Powell. If you have any questions or concerns, please contact Central Payroll Services at centralpayroll@ucmerced.edu.

 Biweekly Payday on December 30, 201510/29/2015

There will be ONE payday during campus closure - This payday will fall on Wednesday, December 30, 2015 during the campus closure! Paper paychecks will be distributed from the Mondo Building for the Biweekly payday on 12/30/15 between 10AM – 12PM.

The December monthly payday will be January 4, 2016 after the campus reopens (an email will be sent to the Check Custodians when the checks are available for pick up).

No other payroll services will be offered during the campus closure other than paper paycheck distribution.  Any checks not picked up during the campus closure as well as the December monthly paychecks on January 4, 2016 after the campus returns to work using the normal procedures.

 Shibboleth Authentication Service10/12/2015

RESOLVED: 10/12/15 Shibboleth Authentication Service Experiencing Issues (UCM Single Sign On)-This is affecting logins for services such as O365, BOX, TRS, PTRS, AYSO, Express, and Connexus. An IT System Administrator is actively investigating the issue and attempting to resolve the problem.

THANKSGIVING HOLIDAY - Early Timesheet Submission (Biweekly Employees) - Due to the upcoming Thanksgiving's Day holiday on Thursday & Friday, November 26-27, 2015, the Biweekly Timesheet for Pay Period 11/08/15 - 11/21/15 (Payday 12/02/15) will need to be Red Flag.jpg submitted as follow:

  • Submit to TRS Employee Deadline:    Sunday, November 21, 2015 (by 12PM)
  • Submit to TRS Supervisor Deadline:  Monday, November 22, 2015 (by 12PM)
  • Submit to TRS DTA Deadline:              Tuesday, November 23, 2015 (by 12PM)

 Open Enrollment Benefits Fair 201510/5/2015

Open Enrollment Benefits Fair 2015 - Open Enrollment begins October 30, 2015 to November 24, 2015. Human Resources will be hosting the Open Enrollment Fair on November 13, 2015 from 11:00AM - 2:00PM @ Joseph E. Gallo Recreation & Wellness Center (Gym). Central Payroll Services will have a table at the Fair, please come by and visit us.

 Early Timesheet Submission (Biweekly Employees) 8/26/2015

Early Timesheet Submission (Biweekly Employees) - Due to the upcoming Labor Day holiday on 9/07/15, the Biweekly Timesheet for Pay Period 8/16/15 - 8/29/15 (Payday 9/09/15) will need to be submitted as follow:

  • Submit to TRS Employee Deadline:      Sunday, August 30, 2015 (Recommended by Noon)
  • Submit to TRS Supervisor Deadline:    Monday, August 31, 2015 (Recommended by Noon)
  • Submit to TRS DTA Deadline:                 Tuesday, September 1, 2015 (by 5PM) 

Please note: 

  • Employees should only enter work hours on the holiday if they actually worked on the holiday.  Non-worked holiday pay hours for eligible employees are automatically computed by TRS upon timesheet submission to the DTA.
  • Employees on the Payroll Time Reporting System (PTR) are also to submit on August 30, 2015 for supervisors to review and approve on August 31, 2015.
  • Academic Employees, who do not submit timesheets, will not be affected by these deadlines.


 Document Direct JAVA v.76/16/2015

Document Direct - Document Direct opens with JAVA version 7 (do NOT update to any version newer than v.7) for Firefox or Internet Explorer browser.  Contact IT if you need assistance in installing the appropriate JAVA to access Document Direct.

 TRS Browser Issue4/10/2015

Time Reporting System (TRS) & Firefox Browser Issue - Firefox recently released an update with security enhancements that are preventing access to some    UC Merced affiliated services. Currently known affected services are the Time Reporting System (TRS) and MyAudit. At this time, IT are recommending that people use an alternaive browser; such as Chrome, Internet Explorer or Safari to access these sites. IT are working with the vendors of these services to   address the issue and will provide updates as soon as they have it.

4/17/15: UPDATE, UPDATE -- The security issue with the Firefox software upgrade has been fixed (upgrade to TRS Server). You can resume to use Mozilla Firefox browser for TRS. If you continue to experience difficulties with TRS within Firefox, please contact Payroll Services at centralpayroll@ucmerced.edu. Thank you for your patience while this issue is being resolved.

Reduce Waste at UC Merced
Join Central Payroll Services, Student Business Services and UC Merced Recycling in our efforts to reduce paper waste. Sign up for direct deposit, online earning statements, electronic W-2 form and electronic refund. Come join Central Payroll Services on Scholars Lane on April 23, 2015.


 New to 2014 form W-21/6/2015

HSA employee and Employer Contributions will be reported on 2014 Form W-2.  Under Box 12 (12h) code "W", the year to date (YTD) balances from employee and employer contributions will be added together and the total will be reported.  Any Health Flexible Spending Account (FSA) Unsubstandiated Claims for 2012 will be reported in Box 14 under "HFSA".  Click here for more information.

  • If you elected for electronic W-2, it is available NOW . Log into At Your Service Online (AYSO) to view/print your 2014 W-2.  
  • If you elected for paper W-2, it will be postmarked no later than January 31, 2015 to the employee home address on file in the Payroll System.
  • If you have questions regarding your W-2, refer to the Form W-2 FAQ's.

First timesheet submission for 2015    

Biweekly employee timesheets for pay period 12/21/14 - 01/03/15 (check date 01/14/15) pay are due on Monday, 01/05/15.

Monthly employee timesheets for pay period 12/01/14 - 12/31/14 (check date 01/02/15) pay are due on Friday, 01/09/15. 

Note:  If an employee is out longer than 01/05/15 and does not have access to the internet, the supervisor may create and submit the timesheet on behalf of the employee to ensure timely payment.
